Terms of Service

These Terms of Service (“Terms”) govern your access to and use of TaxaTrack (the “Service”), operated by Polish Clover Solutions LLC (“we,” “us,” “our”). By creating an account or using the Service, you agree to these Terms.

1. The Service

TaxaTrack helps individuals and academic courses organize taxonomic specimen collections, generate labels, record localities, and analyze collection data.

2. Accounts

You are responsible for the activity under your account and for keeping your password confidential. You must provide accurate information and be old enough to form a binding contract in your jurisdiction.

3. Acceptable use

You agree not to misuse the Service, including by attempting to disrupt it, access it without authorization, upload unlawful content, or infringe others’ rights. Collection and handling of organisms must comply with all applicable permits, laws, and institutional policies.

4. Your content

You retain ownership of the specimen records, localities, images, and other data you enter (“Your Content”). You grant us the limited license needed to host and operate the Service for you. You are responsible for having the rights to Your Content.

5. Fees

Students are free while enrolled in a course that uses TaxaTrack. Other plans and any fees will be described at sign-up or in an order. Where the Service is offered without charge (for example, during a pilot), we may change or introduce fees on reasonable notice.

6. Privacy and student data

Our handling of personal information, including student education records, is described in our Privacy Policy, which is incorporated into these Terms.

7. Disclaimers

The Service is provided “as is” without warranties of any kind. We do not warrant that the Service will be uninterrupted or error-free, or that any analysis, taxonomy, or identification output is accurate or fit for a particular purpose. Scientific and grading decisions remain your responsibility.

8. Limitation of liability

To the maximum extent permitted by law, Polish Clover Solutions LLC will not be liable for indirect, incidental, or consequential damages, or for lost data or profits, arising from your use of the Service.

9. Termination

You may stop using the Service at any time. We may suspend or terminate access for violation of these Terms. On termination, you may request an export of Your Content as described in the Privacy Policy.

10. Changes

We may update these Terms; material changes will be posted here with a new “Last updated” date. Continued use after changes take effect constitutes acceptance.

11. Governing law

These Terms are governed by the laws of the United States and the state in which Polish Clover Solutions LLC is organized, without regard to conflict-of-law rules.
